Job Description
The Cleaning Contract Supervisor is responsible for the management of a motivated, trained team with the appropriate skills to ensure budget targets are achieved. He/she should be customer focused and financially astute to achieve company and client objectives. The Contract Manager supports other managers in all areas in order to deliver a great customer experience. They excel in the areas of operational excellence, financial performance and customer / client satisfaction to achieve company and client objectives within all Company policies, procedures and guidelines. The Contract Manager oversees cleaning operations across multiple buildings ensuring high standards of cleanliness, hygiene, and customer satisfaction. This strategic role includes leadership, operational oversight, budget management, and client liaison to support a consistent and efficient cleaning service that meets corporate standards and health regulations.

Recruitment
• Efficiently source temporary employees in accordance with labour legislation and internal process and policy
• Ensure that employee head count on site is in line with the agreed head count costing
• Ensure the approval process to be followed when hiring new staff
• Ensure that staff members sign their engagement contract before they start work on site
• Ensure that all onboarding forms are submitted to payroll on time

Employee Management
• Manage all subordinates in accordance with sector strategy, contract specification, and statutory regulations
• Ensure that all subordinates adhere to working standards as per the respective service level agreement and Business Standards
• Ensure that company image and reputation is upheld, and employees adhere to uniform regulations
• Arrange counselling and effect wellness campaigns within each site
• Monitor and verify employee time schedules as per shift agreements
• Ensure effective leave management
• Regularly communicate changes and general information to all employees per site
• Lead and manage cleaning operations across multiple retail sites or regions
• Develop and implement cleaning strategies, schedules, and KPIs to meet performance targets
• Manage, train, and support a team of site managers and supervisors
• Monitor and evaluate site performance through audits, inspections, and reporting
• Collaborate with retail and facility management teams to align cleaning operations with store priorities and brand standards
• Manage budgets, cost controls, and procurement of cleaning supplies and equipment
• Ensure compliance with all health, safety, and environmental regulations
• Lead initiatives for continuous improvement and innovation in cleaning methods and technologies
• Manage escalated issues or service failures, ensuring swift resolution and client satisfaction

Industrial Relations Support
• Maintain discipline by using the company’s disciplinary code and procedure, as well as attend to grievances
• Preparation of contingency plan for strikes and stay away
• Appraise staff by way of verbal direction and performance appraisal for supervisory level and above
• Adhere to company policy and procedure
• Effectively manage union relationships

Site management
• Carry out regular inspections
• Ensure prompt attention to the communications book procedure
• Attend certain regular meeting with clients, where minutes need to be taken
• Ensure all problems receive prompt action
• Ensure usage of the AM tool for each site
• Analyze KPIs (e.g., complaint rates, audit scores, staff attendance)
• Attend meetings with key retail stakeholders to align on service expectations and upcoming needs
• Evaluate and improve cleaning procedures, tools, and team structures
• Plan for seasonal or promotional cleaning demands
• Review and control monthly expenditures on labor, supplies, and equipment

Audits and inspections
• Site inspections on regular basis
• Maintain overall client expenses on site
• Monitor compliance with cleaning schedules and brand standards.

Business development
• Work with Contract managers to upsell clients
• Build and maintain client relationships
• Have an in-depth knowledge of business products and value proposition

Systems and Process
• Ensure that PRP hours are approved on time
• Ensure efficient time management and record keeping to ensure on time salary payments

Training & development
• Ensure annual training of staff
• Ensure regular on the job training is performed
• Ensure statutory training is completed by staff
• Promote and support Learnerships
• Ensure robust talent development and succession planning
• Hold performance reviews with area/site managers.
• Identify training needs and schedule development sessions

Health & Safety
• Ensure Hazard Identification and Risk Assessments are completed
• Ensure equipment is in good working order
• Ensure uniforms are sufficient and in good condition
• Ensure Personal Protective Equipment is supplied as per site and scope hazards identified
• Ensure Toolbox talks are done twice a week
• Ensure that current Safety Data Sheets are available to report on chemicals used on site
• Ensure Staff medicals are completed where necessary
• Ensure Waste Management Procedures are followed on site
• Review and update risk assessments and safety compliance documentation
• Evaluate and improve cleaning procedures, tools, and team structures
